How Do I Suppress a Blank Sub-Report in Crystal Reports 2008?

One of my clients emailed me recently, asking "How do I suppress a sub-report that does not return any records, in Crystal Reports 2008?"

The client was creating a dashboard type report, consisting of 5 sub-reports and wanted to format the report so that when a sub-report contained no records, it did not take up any space on the main report.

Solution

The best way to achieve this is to use the section formatting options of Crystal Reports

  1. In the sub-report, from the File menu, select Report Options

  2. In the Report Options dialog box, select the Suppress Printing If No Records check box

  3. In the main report, split the section that will contain the sub-report(s)

  4. Place the subreport in the split section

  5. From the Report menu, select Section Expert

  6. In the Section Expert dialog box, select the Suppress Blank Section check box
